ECS SEES THEIR LATEST ENTERPRISE SALE AS A KEY CORPORATE DEVELOPMENT MILESTONE

 

As one of Laserfiche top National VAR ECS Imaging, Inc., was selected recently for an enterprise document management solution for the Riverside County, CA, Transportation & Land Management Agency (TLMA).   It will be one of ECS’ largest Laserfiche deployments.

 

Barry Weinstein, the ECS sales representative working with TLMA, “He was the architect of this success,” Pappas says.  “He did the four things you have to do when taking the lead for your company with customers.  “First, he knows Laserfiche really well, especially its benefits.  Second, he knows how to bring in expertise such as our Business Partner GTI for their ESRI integration to develop total solutions.  Third, he connects very well with customers.  And fourth, he sees project management, including being the person responsible for providing the customer with top quality technical support, as an integral part of his job.”

 

The TLMA sale stands out as a milestone for ECS, Pappas believes that Weinstein’s performance in making it happen is getting to be the norm for the company.  “We have good people and have put a lot into adding to our capabilities,” he says.  “The goal is to be a constantly improving professional organization from top to bottom.” 

 

TLMA was founded in 1991 and is the umbrella agency for six Riverside County departments: Planning, Building & Safety, Transportation, Code Enforcement, Environmental Programs and the Administrative Services. With a staff of 1,020, TLMA serves a fast-growing population of 2.1 million spread across more than 7,000 square miles of land. 

 

Since being awarded the TLMA contract at the end of July, Barry first ensured he had one of our many top technicians (Scott Miller) assigned to the project for consistency through the implementation.  The implementation has started, and the numerous hours required to ensure that when this enterprise solution is installed, that the agency will be able to start using the enterprise wide solution without a hitch.  Barry and Scott are working with each department to ensure that the entire agency’s needs are understood, that their templates equate to their need, and that the Laserfiche products purchased will be utilized to their maximum efficiency for TLMA.  Barry’s ability to see the vision and Scott’s technical knowledge of the product is proving to both TLMA, to Debbi and myself that our future is very bright,” Pappas says.  

 

This effort requires a hand in hand relationship with the agency’s Project Manager Tom Mullen, Admin Service Manager for the agency, IT managers, each department head and the assigned power user for planning the implementation, setting up securities, and training for each department.  TLMA has established a Power User for each department within the agency that will be able to administer Laserfiche. 

 

The initial goal is to establish a central repository for all documents from all three service offices and their field requirements at TLMA headquarters in Riverside.  As that comes together, TLMA will be able to use their many MFP’s throughout their buildings to scan with LF Import Agent and Quick Field Agent to automatically process most of their documents, ECS will also be integrating Laserfiche with their ESRI GIS.   TLMA will use Web Access and WebLink to make the Laserfiche solution fully available across the three offices and in the field. 

 

ECS and Laserfiche were chosen over a number of firms with enterprise solutions experience, including the companies that once dominated that sector of the market.

Ensuring all of your documents are full text searchable

For a document to be full-text searchable, it must contain text and the text must be indexed. For a document to contain text, it must be OCRed or, with respect to electronic documents, have its text extracted.

By default, Laserfiche will automatically OCR/extract text from all new documents. In addition, documents are automatically indexed when they are created. Nonetheless, it is recommended that you periodically double-check that all your documents both contain text and have been indexed. This prevents documents from slipping through the cracks. It can be done quickly and easily via two separate Laserfiche advanced searches.

Tip: For best results, do not copy and paste the Laserfiche advanced search syntax from this Tech Tip into the Laserfiche Client. Some non-text characters (such as quotes) may not copy/paste correctly. Manually type each character into the Laserfiche Client Advanced Search box.

Tip: Some of the Laserfiche advanced search syntax used in this Tech Tip will only work on Laserfiche 8.01.

Finding Documents without Text

This search finds documents in your repository that:

  • Contain pages but no OCRed text.
  • Do not contain pages.
  • Only contain OCRed text on some (not all) pages.

{LF:AssociatedPages="N"}|{LF:OCR=none}|{LF:OCR=some}

After running the search:

  1. Select all returned documents and right-click them.
  2. Select Generate Searchable Text.
  3. In the Generate Searchable Text dialog box, select OCR/Extract Text.
  4. Click OK.

Finding Documents that Have Not Been Indexed

This search finds all documents that have not been indexed

{LF:Indexed="N"}

After running the search:

  1. Select all returned documents and right-click on them.
  2. Select Generate Searchable Text.
  3. In the Generate Searchable Text dialog box, select Index entire document.
  4. Click OK.

Tip: If either search finds a large number of documents, we recommend you perform the batch OCR/text extraction and/or indexing during non-peak hours.

Tip: Electronic documents that do not contain text in their native format, such as audio or video files, may be returned by one or more of these searches. It is not necessary to extract text from or index these files.

Web Access 8: New Preview Pane and Thumbnail Enhancements

Web Access 8 offers a new Preview Pane in the Folder Browser that gives you more information about an entry. By default, this pane is located in the bottom left corner of the Folder Browser under the Folder Tree. When an entry is selected, this pane will display the entry’s type (document or folder), when it was last modified, its size, author, and full path. This makes it easy to quickly view information about an entry without navigating to the entry’s properties dialog box. In addition, if you have a document selected, it will display a thumbnail of the first page of the document. This helps users see what document they are working with without having to open it.

You can also display thumbnails of the selected document in this pane by clicking the Thumbnails button. Thumbnails can be rotated or used to create new documents by right-clicking on the desired thumbnail and selecting the appropriate action from the context menu. They can also be rearranged or moved to another document by dragging and dropping them in the desired location. In addition, double-clicking a thumbnail will open the corresponding page of the document.

Server–Wide Outlook Import Settings in Laserfiche 8

In previous versions of Laserfiche, settings for importing e-mails from Microsoft Outlook were specific to individual client workstations. A particular user could customize the Outlook Import settings for their computer, but the settings would not be saved if they used the Client on another computer, and there was no way to configure a default set of Outlook Import settings for the entire repository.

In Laserfiche 8, a user with the Manage Repository Configuration privilege can set the default Outlook Import settings for the repository. This includes determining how attachments are imported into Laserfiche, whether a distribution list will be created, and the default field data that will be assigned to e-mail messages. Users can still customize their own Outlook import options, but the administrator’s default settings will be applied for all users who have not set their own options. Additionally, individual users’ Outlook Import settings are saved on the server as trustee attributes, which means they will apply for that user no matter what computer they’re set on.

If an administrator wants to wipe out the current individual user settings, they can do so using the Clear button in the Outlook Import settings dialog. This will clear the individual settings configured by users and cannot be undone. However, it does not prevent those users from customizing the settings in the future—it simply resets everyone to the general default.

To configure default Outlook Import settings:

  • Start the Laserfiche Administration Console and log in as a user with the Manage Repository Configuration privilege.
  • In the console tree, expand the desired Laserfiche Server item.
  • Select the desired Laserfiche repository.
  • Expand the Repository Options node.
  • Select the Settings node.
  • From the Action menu, select Properties. The Settings dialog box will appear.
  • Select the Outlook Import tab and make changes to the specified properties. See the Administration Console help file for information on the properties you can set.

 

Assigning Default Volumes to Folders

In the Laserfiche 8 Client, you can assign a default volume to a folder. This ensures that all documents scanned, imported, or created inside a folder are stored on a specific volume.

For example, the following folders exist under the root of an organization’s repository. Each folder represents the top-most folder for a department in the organization.

The administrator of this repository has created three volumes, one for each department. To ensure that files are stored on the correct volume (e.g., to ensure that Sales documents are stored on the Sales volume), the administrator has defined a default volume for each department’s folder.

To define a folder’s default volume, right-click the folder and select Properties. In the Folder tab, select a volume from the drop-down list.

All new folders created in a repository inherit their immediate parent’s default volume setting. Folders copied or moved into a folder will not inherit their new parent’s default volume.
